1. Booking, Payments, and Mandatory Security Deposit
- Quotes & Invoices: Quotes remain valid for 14 calendar days from issuance and are subject to equipment and decor availability at the time of final confirmation.
- Reservation Payment: A non-refundable booking deposit of 50% of the total rental invoice is required to reserve the date, logistics team, and selected inventory.
- Final Balance: The remaining 50% rental fee balance is due no later than 7 calendar days prior to the scheduled delivery date.
- Mandatory Upfront Security Deposit ($500.00 CAD):
- A flat, refundable security deposit of $500.00 CAD must be paid prior to dispatch and equipment delivery.
- No items will be loaded, dispatched, or installed without receipt of this security deposit.
- Refund of the Security Deposit:
- Following post-event pickup and return to our warehouse, our technicians inspect all commercial screens, rolling stands, cables, backdrops, lighting, and lounge furniture.
- The full $500.00 deposit will be refunded to the original payment method within 3 to 5 business days, provided all equipment and decor pieces are returned complete, operational, undamaged, and on schedule.
- Deductions and Excess Damages:
- Repair fees, replacement costs for missing/damaged parts, or heavy cleaning charges will be deducted directly from the $500.00 deposit.
- If the cost of repair or replacement exceeds $500.00 (such as a cracked 4K panel or unrepairable furniture tear), the Client remains fully responsible for the excess balance and authorizes RentIt4U to charge the difference to the card on file.
2. Delivery, Setup, and Site Logistics
- Venue Access: The Client must ensure our crew has clear, authorized access to the venue, loading dock, freight elevators, and setup spaces at the agreed-upon load-in time.
- Power Requirements: The Client must supply standard, dedicated 120V electrical circuits within 15 feet of all electronic screen setups, illuminated decor, and powered accents.
- Access Delays: Delays exceeding 30 minutes caused by locked facilities, uncleared staging areas, or client unreadiness will incur wait-time charges of $75/hour per crew member.
- Pickup & Strike: Equipment must be accessible for immediate breakdown at the scheduled end-of-event strike window.
3. Equipment Care, Custody, and Damage Policies
- On-Site Acceptance: The Client or their designated site coordinator must inspect and sign off on all screens, stands, and decor immediately upon completion of setup. Any pre-existing cosmetic flaws must be noted on the delivery manifest.
- Custody and Supervision: The Client assumes sole custody and full financial responsibility for all rented assets from the completion of setup until the RentIt4U crew returns for retrieval.
- Electronics Standard: Screens must remain indoors or in fully climate-controlled spaces. Under no circumstances may client guests, staff, or attendees move, detach, or reconfigure 4K LED screens on their rolling stands without prior written consent.
- Decor & Furniture Standards: Lounge furniture, greenery walls, chandeliers, and stanchions must be protected from food spills, open flames, outdoor weather, and vandalism.
4. Cancellations and Rescheduling
- 14+ Days Notice: The 50% reservation fee is non-refundable; any remaining rental payments made will be returned, along with the $500.00 security deposit if already paid.
- Less Than 14 Days Notice: The entire rental contract total (100%) is due and non-refundable due to inventory allocation. The $500.00 security deposit will be fully returned if the equipment did not leave the warehouse.
- Rescheduling: Date changes requested at least 14 days in advance will transfer all rental payments to the new date within a 6-month window, subject to inventory availability.
5. Outdoor Event Policy
- Ultra-HD 4K displays, electrical distribution gear, and fabric decor cannot be exposed to rain, snow, mist, direct precipitation, or high winds.
- Outdoor setups require dry, level, fully enclosed commercial tents or overhead structures. RentIt4U reserves the right to withhold electronic setup without refund if weather conditions pose a danger to equipment or persons.
6. Limitation of Liability
- RentIt4U is not liable for indirect losses, revenue loss, event cancellations, or venue penalties arising from power failure, client operational errors, or force majeure events.
- Our maximum financial liability under any circumstance is strictly capped at the total rental fee received under the contract.
7. Governing Law
- These Terms are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada.
